This position is responsible for:

  • managing administrative aspects of multiple Associations (with assistance from CAM team members)
  • assisting Accounting team with AP and monthly reporting for HOA’s
  • coordinating with Property Managers on routine and ongoing projects
  • communicating needs and information among Managers, homeowners, and vendors
  • ensuring information is up to date and accurate
  • performing a wide variety of administrative services

 

ACAM Key responsibilities include (with assistance from CAM team members):

 

  • Able to perform some accounting functions, assist with preparation of reports and distribution of monthly accounting reports to various HOA’s
  • Able to schedule tasks and projects to be completed in a timely and organized manner
  • Able to understand complex HOA issues and to determine when to escalate an issue to the appropriate CAM or other manager
  • Able to be a key communicator with the HOA boards, members, vendors, internal Maintenance Department, internal Accounting Department. Distributes all Community Association communications in the most efficient manner.
  • Ability to read and understand the basics of HOA contracts. Able to accurately research and quote contract terms if there are questions about services

 

Accounting Key Responsibilities include:

 

  • Processing HOA Accounts Payable including coding routine invoices (may change to SmartBill later)
  • Posting monthly financials on AppFolio in Board Member Shared Documents section and e-mailing Board Members when monthly financials are available
  • Preparing Financial Variance reports for quarterly board meetings
  • Assisting with communicating with vendors on payment timing or getting copies of invoices
  • Performing other duties as may be assigned

 

Administrative Key Responsibilities include:

  • Able to physically drive to HOA’s to conduct onsite inspections, either solo or in conjunction with a CAM
  • In conjunction with the CAM’s, prepare and send meeting notices and other correspondence to homeowners and Board members
  • Checking AppFolio calendars weekly for upcoming projects and board meetings
  • Preparing Board Packets in advance of Board Meetings, including:
    • Past meeting minutes for approval
    • Most recent financials and variance reports
    • Manager report template
    • Future meeting dates
    • Any available exhibits/attachments for discussion
  • Attending board meetings to record Action Items and, when required, official meeting minutes using GPM templates-requires a flexible schedule with evening and weekend meetings
  • Assisting HOA coordinator in organizing files and folders with GPM system and AppFolio following the basic template of file organization
  • Directing Owner and Customer inquiries to the proper entities, following up to ensure issues are handled in a timely and effective manner
  • Performing other duties as may be assigned

Pay Range: $29.00 To 34.00 Hourly
