We are currently seeking a motivated and detail-oriented Accounts Payable and Administrative Assistant to join our team.

**Job Summary**

As the Accounts Payable and Administrative Assistant, you will play a pivotal role in supporting our finance and administrative functions. You will be responsible for accurately processing accounts payable transactions, assisting with administrative tasks, and ensuring the smooth operation of our office.

**Key Responsibilities**

Accounts Payable:

  • Process vendor invoices, ensuring accuracy and completeness.
  • Prepare and process electronic payments and checks for vendors.
  • Reconcile vendor statements and resolve discrepancies.
  • Assist in the maintenance of vendor records.
  • Monitor and manage accounts payable email inquiries.

Administrative Support:

  • Assist in managing office supplies and inventory.
  • Answer and direct phone calls, as well as handle general inquiries.
  • Schedule meetings and coordinate appointments.
  • Handle incoming and outgoing mail and packages.
  • Maintain organized and tidy office space.

Data Entry and Record-Keeping:

  • Maintain accurate and up-to-date records of financial transactions.
  • Assist in data entry and other record-keeping tasks.

**Qualifications**

  • High school diploma or equivalent; associate or bachelor’s degree in a related field is a plus.
  • Proven experience in accounts payable or a related financial role.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a high level of accuracy.
  • Ability to work independently and as part of a team.
  • Familiarity with Sage 100 accounting software is a plus.
